Use of the YouTube platform by WSSU programs, units, and departments is governed by WSSU’s Social Media Policy. YouTube channels currently approved for official use by WSSU are:
- WSSU1892: Primary outward-facing channel supporting the university’s strategic priorities: marketing, branding, recruiting, fundraising, and engaging. These videos are produced and curated by WSSU’s IMC department for external audiences.
- IITV: Channel for IT-related instructional videos. These videos are produced and curated by WSSU’s IT department for internal audiences.
- WSSU Internal: Channel for other internal-facing videos that target faculty, staff, and current students. These videos are produced and curated by approved WSSU employees on behalf of their program, unit, or department. For approval, read guidelines below then... REQUEST ACCESS.
WSSU Internal YouTube Channel Guidelines
The WSSU Internal YouTube channel is WSSU’s official repository of internal facing videos, those geared toward faculty, staff, or current students. A university program, unit, or department may request a playlist within this YouTube channel. Upon approval, the designated employee will be granted access to upload and caption departmental videos. The videos may be shared via embedding them on internal facing websites or systems (i.e. LMS), emailing or texting the link, or via other internal communication channels.
*Any videos developed for public consumption must be vetted by Integrated Marketing Communications and may be stored in a different repository.
The visibility of each video that is uploaded to this YouTube channel is set to Unlisted. Only people with the link will be able to see it. It doesn’t show up publicly on the YouTube home page, and it doesn’t pull up when someone searches for WSSU in YouTube. Those granted access to the channel can see the videos there and can share the link with their internal audiences via various internal communication channels.
Departments may request that an individual video or playlist be embedded onto the website or other WSSU system via submission of a RAMTicket with the link or embed code.
Departments may request access to upload internal facing videos to the WSSU Internal YouTube channel by submitting the WSSU Internal YouTube Channel access request form. Once approved, the requesting department will receive its own playlist within the channel and ability to upload and caption their videos.
Editorial access is granted via the department’s unique gmail account. Departments will need to provide a gmail address when they request access. Each department is responsible for setting up its own gmail account and maintaining its own videos and playlists.
Video requirements: All video(s) must be ADA compliant (e.g., captioning, color contrast, etc..). The video(s) should NOT be linked to any university system prior to captioning. There is a 5-day grace period from the time a video is uploaded to YouTube to allow time for captioning. Beyond that grace period the video can be removed from the channel without prior communication to the department.
Training: All related training for captioning will be provided by the personnel of the OIT Technology Learning Center and/or related training sources (e.g. Digital Accessibility web page). Instead of in-house captioning, departments may choose to hire an external captioning company, such as REV.com.
Neither IT nor IMC personnel will edit or make videos ADA compliant for use on the WSSU Internal YouTube Channel. That is the responsibility of each department.
