Preparing for Your Meeting
Whether you're scheduled for an Administrative Hearing, a Student Conduct Council Hearing, or a Pre-Hearing Conference, it’s important to be prepared and informed. Below are helpful tips to guide you through the process and ensure you are ready for your meeting:
Read Your Letter Carefully
Make sure you understand why you received the letter and what type of meeting or hearing has been scheduled. Take note of the date, time, and location, and check your WSSU email regularly for updates.
Review Your Case File
You’ll be given access to your case file—a collection of relevant documents, statements, and other materials related to the concern. Reading through this information ahead of time can help you understand the context of the allegations and prepare your response.
Know your rights and the process. Take time to review the Students’ Code of Conduct, the On Campus Living Guide, the Disciplinary Process, etc., so you understand the procedures and your rights during the conduct process. You are entitled to be heard, to provide information, and to have support present.
Consider having an advisor. You may bring an Attorney or Non-Attorney Advocate (civility advisor) to your meeting or hearing. This person can assist and support you throughout the process. If you choose to bring someone, make sure they are familiar with the conduct process.Prepare what you’d like to say. You’ll have the opportunity to explain your perspective either verbally or in writing. Consider outlining what you want to say ahead of time. Bring any documents, messages, or evidence that you think might be helpful.
Dress to impress. While this isn’t a court proceeding, a job interview, etc., dressing neatly and appropriately can show that you are taking the process seriously. Aim for business casual attire—nothing too formal, but polished and respectful.
Ask Questions. Don’t be afraid to ask for clarification. We are here to help you understand the process and what to expect. If anything is unclear, reach out before your meeting. If you need guidance, please contact studentconduct@wssu.edu or call 336.750.3356.
Take Care of Yourself. It’s natural to feel nervous but remember that this process is about fairness and learning. Take a few moments to reflect, gather your thoughts, and approach the meeting as a chance to share your side and learn from the experience.
